Step-by-Step Tutorial: HouseTrack Emails in Website Admin Settings 


Welcome! This tutorial will guide you through the Website Admin Settings for HouseTrack Emails. HouseTrack Emails are the email notices sent to registered users to notify them of Listings that match the criteria of searches they've saved. Determining If a lead is sent HouseTrack Emails is handled on a per lead basis in Turboleads. The settings found here determine the defaults and contents of HouseTrack Emails sent.

Under Website Admin you’ll find Settings in the side menu, clicking settings will expand to show HouseTrack Emails. Click HouseTrack Emails.

1. HouseTrack Email

  • Subject will set the subject line used for each HouseTrack email when sent.. 

    • Make sure the subject captures the purpose of the email effectively (e.g., "New Listings That Match Your Criteria").

  • Message header is an input field to add a header for the email notice. 

    • Note: This is NOT the body of the message—it’s an optional field and can be left blank if unnecessary.

  • Message is where you’ll write the main body of the email used for each HouseTrack email when sent. 

    • You can use macros to insert dynamic content into your message automatically. See ‘What is a Macro?’ below for more details. 

    • Be sure to include the HouseTrack Data Macro (the HousetrackData in curly brackets), as this is essential for providing the relevant listing information. 

Include Signature will include the signature set from your Account when this option is enabled. 


2. HouseTrack Expiration

  • HouseTracks expire after 60 days defines how long the house track notices will remain active, ensuring clients receive updates on new listings that match their criteria.

    • Viewing a lead in Turboleads lets you see each active HouseTrack they may have. 

    • The expiration date can be checked from that same interface in Turboleads.

    • Expired HouseTracks can be extended and/or renewed from that same interface in Turboleads.

What is a Macro?

A macro is a code that pulls information from a database and inserts it in place of the macro. 

When your emails begin with a personalized greeting (e.g. "Hello Bob"), they feel more conversational, and are more likely to be read. But that doesn't mean you need to manually compose every email you send. Use macros to dynamically insert information in your automated emails, and to simplify future revisions.

For example: “Hello {FirstName},” will insert this person’s first name from the database of registered users. If John Doe registers on your site, the email he receives will say “Hello John,”.

A short list of useful examples are listed below:

{FirstName}

{LastName}

{FullName}

{Email}

{Phone}

Note: Do not delete the following macros from your auto-response emails: {AccountRegistrationInformation}, {SearchCriteria}, or {HousetrackData}. These are used by our system to insert important data like the user’s account info or search results into the email.
